Sharing relevant real-time data to accelerate time to market in hospitality

The Challenge

Cool Head Europe is a company dedicated to distributing professional refrigeration equipment based in Turin (Italy). Throughout the more than 10 years of partnership with Rightway Asia, several synergies have been generated between the two companies, as well as the need for good coordination between the teams in various areas such as finance, logistics, technical support, sales, etc.

Due to the large number of items listed in their catalogue from Rightway Asia, the volume of enquiries the Cool Head team had on a day-to-day basis regarding ordering, shipping and technical queries was very high.

Therefore, a project was drawn up so that the company’s ERP could receive the information directly from the source, in this case, Rightway Asia’s ERP. By doing so, they could have the information updated in real time, without the need to make queries via email or telephone.

A team was formed that included figures from both companies in the areas of finance, logistics and technical support to develop this project. This team was coordinated to analyse the specific needs of each department and their impact on day-to-day tasks.

As a result of this work, agreements were reached on which data was essential to improve the efficiency of Cool Head Europe’s day-to-day operations. This would be the information that Rightway Asia’s ERP needed to provide, which was tailored to their needs.

Thanks to the coordination with Rightway Asia, we could improve our response time. This has allowed us to offer a better customer experience.

The Solution

Once the project was developed in Cool Head Europe‘s ERP system, all the essential data to manage daily operations could be visualised. The data from Rightway Asia, such as the product data sheets or shipment information, was automatically transferred in real-time.

Having up-to-date data was vitally important for the organisation, which had a very positive impact on the company and accelerated its time to market capacity.

Thanks to the development of this project, the Cool Head Europe team can now access a wide range of data autonomously:

  • Product information: code, name, specifications, spare parts details, Bill of Materials, specification sheets.
  • Information relating to purchase orders: purchase pipeline, placed order status display, receipt of a complete list of products that have been shipped (with details of loading schedule and expected time of arrival) and list of products in production (in planning or in production).

Several of the teams benefited from being able to access this information automatically.

Technical support had access to information on spare parts and bill of materials. Logistics could track the status of purchase orders and organise warehouse stock, while Sales could know the status of products being produced so they knew when to offer them.
